Frequently Asked Questions
What Is Your Largest Tent & How Many Does It Seat?
Our largest tent is 20x20 (400sf) Marquee but tents can be set up together and attached using gutters to make whatever size is required for your event. Using your space in the most efficient way you can seat approximately 40-45 seat people under a 20 x 20 tent.
What is my Responsibility as a Renter?
Responsibility for rented equipment remains with the renter from the time of receipt until the time of return. All china, flatware, glassware and catering equipment should be cleaned, sorted and repacked in the same containers in which they were received. Linens should be refuse-free and dry to prevent staining and mildew. Please ensure that all equipment is secure and protected from the weather while it is in your possession. Charges will apply for dirty dishes, broken, damaged and missing items, including packaging materials.
How Tall Are The Tents?
The tallest part of the tent is the tent peak which comes in an 19 feet 2 inch from the ground to the tip of the flag. The shortest part of the tent is the frame and guide wires which are 8 feet 1 inch from the ground.
About Truck Access To The Site.
Please remember that most tent installations require us to be able to drive right up to where we need to work because of the size and weight of the tents that we may be setting up for you. This usually isn’t a problem but does bear mentioning in case there are restrictions for access that we don’t know about. If we do need to transport materials more than a minimal distance from the truck, and we are not notified ahead of time, our company policy requires our workers to phone the office for authorization.
Again, we try to be flexible but we have had instances where our truck and work site were 90 feet away with 3000 lbs of tent fabric and materials that needed to be hand carried. This also has an effect on schedules and in many cases will cause a cascading effect and result in unplanned delays.
How Do You Anchor Tents?
We use steel stakes that are 20″ to 36″ long driven into the ground – that’s also the reason why we require utility locates. The actual number of stakes and the size of them will vary depending on what size of tent it is, how much wind load they may be subjected to and the length of time they will be set up.
Proper ground conditions for stake anchoring is required for all tent installations. Not every situation can be accommodated depending on the potential exposure to wind should there be a storm so please understand that our policy is designed for the safety of everyone concerned. There are other things that we can do depending on the situation but the end result has to be within the manufactures anchorage guidelines and above all, secure if a storm arises.
Can Tents Be Set Up On Cement Or Concrete?
Yes, the tent has to be anchored by drilling holes for all the feet and guidelines to bolt the tent down and we must be informed ahead of time.
Can We Set Up Tents Ourselves?
No, we do not allow anyone to set up our tents. Reason why? The tents consist of many different parts, which can be damaged. We would also have to spend time training you on how to set up a tent properly, which would accrue extra fees.
Can Tents Be Moved After Setup/Installation?
Yes and No. Tent positions can be altered slightly (with in a few feet) after they are errected and before the ground stakes are pounded in. Tents can not simply be picked up and moved, they must be fully dissasembled to prevent damage. If you change your mind about the location of your tent after it is setup and staked down the cost of moving it is the full amount of the tent. Please be sure of your location.
Can We Barbeque Under Tents?
No. If you damage one of our nice white tents with greasy smoke we will charge you for the replacement cost of the fabric since it is now essentially useless for anything else – forever! The burned charcoal or grease smell will last about a year or so and the white tent that we installed is now smoky grey on the inside roof and cannot be cleaned or repaired.
All you have to do is put the grill at least 20 feet outside the tent so that the roof doesn’t trap the smoke, grease or heat from the BBQ.
Can We Decorate or Alter The State Of The Tent If We Need To?
Yes & No. Tents are erected according to the manufactures set up and anchoring guidelines. No changes can be made. Yes the tents can be decorated as long as No tape is applied to the canvas or walls . Any kind of adhesive will cook to the canvas material. If tape is applied to the poles all tape and residue must be removed or additional charges will occur.
Do You Provide Decorating Service For Tents?
We have center pole wraps and special lighting to fancy up your event. We can also refer you to some of the professional decor people that we work with on various projects if you’re looking for something more extensive.
What If We Decide On The Day Of Setup That We Want Or Don't Want Walls?
Walls need to be booked ahead of time. When we come out to set up a tent we install the walls before we leave. However if the weather is nice just ask us to leave the walls off, you can put them up later if you change your mind. You may also, if you like, just put a few walls up for coverage and privacy.
Attention*
Underground and overhead utilities are always important to watch out for when erecting a tent. More than a few times over the years we have arrived on a site to discover very large power lines overhead of where our customer wants their tents installed. Due to a code, that states we must be 10 meters from any power lines, we have had to move the tent to a safe location. Our actual company policy for this is not closer than 30 feet so anything less than that and our crews are instructed to phone the office and we will check with our customer before any work can proceed.
